How to Use the Alternate Warehouse in Sage 100
Why Use the Alternate Warehouse in Sage 100?
Customers don’t want to wait on orders simply because you have more administrative work to handle. But when your primary warehouse is out of stock on an item, that’s often exactly what happens.
Luckily, the Alternate Warehouse feature in Sales Order for Sage 100 gives you the flexibility you need to quickly and easily source items from any warehouse in your system, so you can ensure smooth order fulfillment without having to cancel or backorder unnecessarily.
The Alternate Warehouse lets you pull inventory from a different warehouse than the one originally assigned to the line item. This is especially useful when:
The primary warehouse is out of stock, but another warehouse has availability.
You want to ship from the closest warehouse to the customer to save freight/time.
You need to split fulfillment across multiple warehouses.
How It Works
First, you must set up your Alternate Warehouse capabilities.
To do this:
Navigate to the Sales Order Options window.
Select Tab 3, “Line Entry”.
Check the boxes for “Use Alternate Warehouse for Out-of-Stock Items” and “Check for Available Quantity”.
After that, your Sage 100 system will save you time by activating a specific process.
1. Your system will assign a default warehouse to orders.
When you enter an SO line, the system will automatically assign your default warehouse from the Sales Order Header.
2. Your system will check inventory availability.
If your default warehouse doesn’t have enough stock, you will have the ability to select an Alternate Warehouse at the line level.
3. You can override the warehouse at the line item.
On the Sales Order line, simply change the warehouse code to the alternate warehouse with inventory (see image below).
Your system will then allocate from that location.
Using the Alternate Warehouse Feature Can Save You a Lot of Manual Work
When you leverage the power of the Alternate Warehouse for Sage 100, your inventory will be relieved from the Alternate Warehouse for shipping and invoicing. Costing and availability will be based on the alternate warehouse chosen, and your reports and history will all reflect which warehouse filled the order.
And all you had to do was select a different warehouse at the line level.
Conclusion
The Alternate Warehouse feature turns a potential stockout into a seamless fulfillment opportunity. By eliminating unnecessary backorders and cancellations, you'll improve order completion rates, reduce customer wait times, and make better use of inventory across all your locations.
